Linked Documents Privacy Policy
This policy explains how personal information is processed in connection with the Linked Documents Excel add-in, its associated online services and APIs, and its Microsoft Marketplace subscription and licensing components.

1. Identity of the controller
Linked Documents is provided by AV Software, Netherlands. AV Software is the data controller for the personal information it processes in connection with Linked Documents.

2. Information we process
Depending on how Linked Documents is accessed and licensed, AV Software may process limited account, subscription and licensing information, including:
- your name and email address;
- Microsoft account or Microsoft Entra identity information needed to authenticate you;
- subscription and entitlement status;
- trial eligibility and trial status; and
- license assignment and license status, where applicable.
AV Software may also process information you choose to provide when you request support, together with limited technical information needed to investigate the request or protect the service from abuse.
3. Customer documents and workbook content
During normal use, documents loaded into Linked Documents, PDF contents, Excel workbook contents, annotations, linked-document data, and other application content are not uploaded to or stored by AV Software merely because you use Linked Documents.
Linked Documents may store application-specific information locally in the customer's Excel workbook or another customer-controlled file. That information remains part of the customer's data and is subject to the customer's own storage, access, backup and retention arrangements.
If a customer voluntarily includes document or workbook information in a support request, AV Software will process that information only as needed to respond to the request and for related security or legal purposes.
4. Why we process information
AV Software processes personal and account information where necessary to:
- sign users in and authenticate their identity;
- verify subscription and licensing entitlements;
- administer subscriptions, trials and license assignments;
- provide customer support;
- maintain service security and prevent misuse or abuse; and
- comply with applicable legal and accounting obligations.
5. Legal bases
Where the General Data Protection Regulation or similar law applies, AV Software relies on performance of a contract, including taking steps requested before entering into a contract, to authenticate users and provide and administer Linked Documents. AV Software may rely on its legitimate interests to secure, support and improve the reliable operation of the service and to prevent misuse, provided those interests are not overridden by the rights of affected individuals. AV Software also processes information where necessary to comply with legal obligations.
6. Application communication
Linked Documents may communicate with Microsoft identity services, Microsoft Graph, Microsoft Marketplace or other Microsoft licensing services, and AV Software's subscription and trial service. These communications are used where necessary for sign-in, authentication, entitlement checks, trial status and subscription management.
These identity and licensing communications do not mean that customer PDF files, PDF contents, workbook contents, annotations or linked-document data are uploaded to AV Software.
7. Microsoft and third-party services
Microsoft provides identity, Graph, Marketplace and licensing infrastructure used by Linked Documents. Microsoft processes information under its own privacy terms and policies. AV Software does not control Microsoft's infrastructure or Microsoft's independent processing of personal information.
AV Software may disclose limited personal, account or licensing information to Microsoft or service providers only where reasonably necessary to operate, secure and support Linked Documents or meet legal obligations.
8. Sharing and sale of information
AV Software does not sell personal information. Information may be shared with Microsoft and service providers only to the extent necessary to provide identity, licensing, subscription, trial, security and support functions, or where disclosure is required by law.
9. Data retention
Account, subscription, trial and licensing information is retained only for as long as reasonably necessary to administer the relevant subscription or trial, provide support, protect service security, resolve disputes, and satisfy legal or accounting requirements. Retention may therefore continue for a limited period after a trial or subscription ends where one of those purposes still applies.
Customer documents and application-specific information stored in a customer-controlled workbook are retained according to the customer's own storage and retention practices, not by AV Software.
10. International transfers
Microsoft or other cloud service providers involved in operating Linked Documents may process information in jurisdictions outside the user's country. Where data-protection law requires it, AV Software uses or relies on applicable safeguards for such transfers.
11. Your privacy rights
Depending on applicable law, you may have rights to request access to, rectification or erasure of your personal information; to restrict or object to processing; and to receive portable data. You may also have the right to complain to the competent data-protection supervisory authority.
To exercise a privacy right, contact info@avapps.co. AV Software may need to verify your identity before completing a request and may retain information where permitted or required by law.
12. Security
AV Software uses reasonable technical and organizational measures designed to protect personal information against unauthorized access, loss, alteration or disclosure. No system or method of transmission can be guaranteed to be completely secure.
13. Analytics and advertising
Linked Documents does not use customer documents or workbook content for advertising. AV Software does not sell personal information or use Linked Documents account information for behavioral advertising.
14. Children
Linked Documents is intended for professional and business use and is not directed to children.
15. Changes to this policy
AV Software may update this Privacy Policy to reflect changes to Linked Documents, applicable law or business practices. The date at the top of this page identifies when the policy was last updated.
